Office Manager

We are looking for an enthusiastic and positive Office Manager that interacts well with homeowners, vendors, board members and committee members, as well as staff within the office. This is a busy office that requires
• Communication with 200+ homeowners via email, telephone or in person regarding issues or concerns they may have
• Knowledge of communities/property/real estate or homeowners associations.
• Knowledge of the role of the association board, the Association Office Manager, and how those roles interface with the requests of homeowners.
• Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, letter writing etc.) at a proficient level.
• Knowledge of conflict resolution techniques at a proficient level.
• Professional communication skills (phone, interpersonal, written, verbal, etc.).
• Professional customer service skills.
• Self-motivated, proactive, detail oriented, ability to multi task, and a team player.
• Time management and time critical prioritization skill set
• Proficient in QuickBooks, Excel, Word
32-34 hours per week. Occasional half day on Saturday
Duties include but not limited to:
• Supervise the operation of the Association in accordance with Association's policies and procedures, by-laws and covenants.
• Acts as the primary liaison with the Association Board of Directors and homeowners as needed.
• Perform/Direct administrative and management duties as requested by the Board of Directors
• Attend Board meetings per management request and community events as needed.
• Prepare Board packages according to established time frames..
• Assist in planning/organizing board meetings and annual HOA meetings
• Ensure Board of Directors is aware of violations and issues involving the Association.
• Maintain contract and homeowner files relating to the operations of the Association. Maintain records of all correspondence and Architectural requests
• Responsible for yearly and monthly billing and subsequent deposits. Monthly bank reconciliations, P and L, collections
• Coordinate maintenance and repair requests with the maintenance department and be resourceful in contacting contractors for bid proposals
• Other duties as assigned.
